Data Archive & Retention Policy

How information submitted on the IBBF platform is stored, archived, and retained over time.

Organization: Indian Business Betterment Foundation
Type: Data Policy Document
Applies To: All Platform Data
Last Updated: 8 April 2026
Section 1

Purpose

This Data Archive & Retention Policy explains how information submitted on the IBBF platform is stored, archived, and retained over time.

The objective of this policy is to maintain transparency, preserve records relevant to consumer experiences and business interactions, and ensure responsible handling of platform data.

Core Principle: Content on IBBF is never permanently deleted. Complaints, reviews, and business responses are retained on the backend permanently — even if archived from public view.
Section 2

Types of Data Covered

This policy applies to information collected or submitted on the platform, including:

  • Consumer complaints
  • Consumer reviews
  • Business responses
  • Business profile information
  • Verification-related information submitted by businesses
  • Supporting documents or evidence submitted with complaints or reviews
  • Communication records related to submissions
Section 3

Data Retention

Information submitted on the IBBF platform may be retained for as long as necessary to maintain platform records and transparency. Retention may depend on factors such as:

  • Relevance of the information to platform records
  • Compliance with applicable laws
  • Operational or security requirements

IBBF may retain certain records even after a complaint or review process has concluded in order to preserve platform history.

Section 4

Archived Content

Some content may be archived rather than removed from the platform. Archived content may include:

  • Outdated or inactive business profiles
  • Submissions that are no longer actively updated
  • Records retained for historical or transparency purposes
  • Content that violates platform guidelines but must be preserved for audit purposes
Publicly Visible
Active complaints, reviews, and business responses that comply with platform guidelines
Archived (Not Public)
Content removed from public view — retained permanently on the backend for records and audit
Section 5

Removal of Content

In certain situations, content may be restricted or archived from public view if it:

  • Violates platform policies
  • Contains sensitive personal information
  • Is determined to be inaccurate or misleading
  • Is subject to legal or regulatory requirements

Removal decisions are made in accordance with platform moderation and takedown policies. All archived content remains in the backend database — it is never permanently deleted.

Section 6

Data Security

IBBF takes reasonable administrative and technical measures to protect stored data against unauthorized access, misuse, or alteration. Security measures may include:

  • Access control systems
  • Data storage protections
  • Monitoring for suspicious or unauthorized activity
Note: While reasonable safeguards are used, no online platform can guarantee absolute security.
Section 7

Business Verification Records

Documentation submitted during business verification processes may be retained for record-keeping and audit purposes. These records may be stored securely and used only for platform operations or compliance requirements.

Section 8

Platform Transparency

IBBF maintains records of consumer complaints, reviews, and business responses to promote transparency and accountability. Archived records may help provide historical context regarding interactions between consumers and businesses.

Section 9

Policy Updates

IBBF may update this Data Archive & Retention Policy periodically to reflect changes in platform operations, legal requirements, or data management practices. The updated version will be published on the platform.

Section 10

Disclaimer

IBBF retains platform records to support transparency and documentation.

Retention of information does not represent endorsement, verification, or judgment regarding the accuracy of user submissions.

IBBF is an independent, non-government platform documenting consumer experiences and business information. Content reflects user submissions and does not constitute legal advice, endorsement, or determination of fault or liability.
